BiteNice is provided by CLOUDPILAR LIMITED (“we”, “us”, “our”). This policy explains how we process personal information when you use the BiteNice mobile app, our website, and related support services.

1. Information we process

Account and authentication information. We process your email address, account identifier, password stored as a secure hash, session and authentication information. If you request a password reset, we process the email address and the secure, time-limited reset information needed to send and complete that request.

Child profile information you choose to provide. This can include a child’s name or nickname, age or date of birth, allergies, dietary preferences, and related feeding information. Parents and guardians provide this information to tailor BiteNice guidance; BiteNice is not intended for children to use directly.

Food photographs, scans and results. When you use an AI food scan, we process the photograph or label image, the food information it contains, and the resulting safety guidance, preparation advice, allergen flags, scan history and any notes or reactions you save. We process photographs to provide the scan. Whether a photo is retained in your account depends on the setting and feature you use; scan results and history may be retained so your account features work.

Usage and technical information. We may process scan allowance and subscription-access records, feature usage, device/app version, IP address, request identifiers, diagnostics, crash reports, security logs and analytics where these tools are enabled. We use this information to run the service, prevent abuse, investigate faults and improve reliability.

Subscription information. Purchases are processed by Apple App Store, Google Play and RevenueCat, as applicable. We receive subscription status, product, renewal, expiry and transaction-related identifiers needed to provide Premium access; we do not receive or store your full payment-card details.

2. Why we use information

We use information to create and secure accounts, provide age- and preference-aware food-safety guidance, process scans, maintain history and settings, administer subscriptions, answer support requests, send essential service emails such as password resets, protect the service from fraud or abuse, meet legal obligations, and improve BiteNice.

3. AI processing

BiteNice uses AI service providers to analyse food photographs, labels and questions and to generate educational guidance. Information submitted for a scan or AI question may therefore be sent securely to those providers for processing. AI output can be incomplete or incorrect and is not medical advice. We do not use your content to train BiteNice’s own general-purpose AI models. Provider handling is governed by their contracts, settings and applicable law.

4. Service providers and sharing

We share information only where necessary to operate, secure and improve BiteNice, including with cloud hosting and database providers, AI processing providers, email delivery providers, analytics/diagnostic providers where used, Apple, Google and RevenueCat for purchases and entitlement administration, and Hostinger for this public website. Providers act under their own terms and, where applicable, data-processing commitments. We may also disclose information where required by law or to protect users, our rights or the security of the service.

5. Legal bases and UK GDPR rights

Where UK GDPR applies, we process information to perform our contract with you, for our legitimate interests in operating and securing BiteNice, with your consent where required, and to comply with legal obligations. You may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also complain to the UK Information Commissioner’s Office. 6. Retention and deletion

We retain information for as long as needed to provide BiteNice, maintain your account and records, resolve disputes, protect the service, and meet legal obligations. We do not publish a fixed retention period because it depends on the data and purpose. You can request account and associated data deletion through the app where available or by emailing support@bitenice.com from your account email. We will verify the request and delete or anonymise information unless we need to retain it for legal, security, fraud-prevention or backup-recovery reasons.

7. Children’s privacy

BiteNice is for parents, guardians and other adults responsible for feeding children. We do not knowingly collect information directly from children. If you believe a child has provided information directly to us, contact us so we can investigate and take appropriate action.

8. International transfers

Our providers may process information in the United Kingdom, European Economic Area and other countries. Where personal information is transferred internationally, we use appropriate safeguards required by applicable law, such as adequacy regulations or contractual protections.

9. Security

We use technical and organisational measures designed to protect information, including access controls, secure transmission and security monitoring. No system is completely secure; please keep your account credentials confidential and contact us promptly if you suspect unauthorised access.
